You can share in Narbulut nDocs Workspace in following ways: #
- Share : Sharing files and folders in your own space (My Files) with users belonging to the organization.
- Download Link : Sharing download link to users belonging to your organization or to anyone outside the organization.
- Share Temporary Space : You can securely share your folders and files with non-organizational users. (Narbulut account does not required)
- Co-Workspace : Share common space with users belonging to your organization.
Important warning :
- Temporary space sharing allows you to securely share your files with outsiders. It is a delicate operation. Pay attention.
- To be able to share temporary space, you need to create contacts in the address book. Click to learn more about the address book.
- Only admins can adjust the common space settings. Click for more information about the common space.
In folders you share with, users : #
- Can manage, add and edit: Users, who are logged in to your organization with a Narbulut account, can view, edit, delete or move the files in the folder within the authorizations you have granted. Users can also download files from the folder or add files to the folder as well.
- Can just view: Users can view the folder and open all files in the folder.
More information about folder sharing:
- If you share or unshare folders with many files or subfolders, it may take time to change all authorizations. If you change numerous editing or viewing authorizations at once, it may take time for you to see the changes.
- Your individual space storage size is calculated separately from nDocs Workspace common space.
- Child and parent folder authorizations may differ when managing large folder structures. You can override the inherited authorizations of subfolders to be different from the parent folder. You can also remove authorizations that a subfolder inherits from the parent folder.
Determining Who to Share With #
Specific Users
You can determine to share only with specific users, like as on files;
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Right-click on the folder you want to share.
- Click on
Share in the drop-down menu or click on
Share icon on the right side.
- Select the users you want to share with.
- Select Full, View, or Special from the list at the top right to specify what users can do with your file when you share.
- If you select special, determine the authorization you want to grant.
- You can inform the users via Mail or SMS, by clicking on the checkboxes. If you do not want to notify users, uncheck the corresponding box.
- Click on Share.
- You can send the download link of your folder to other users. You can give permission to users you specify or share as open to everyone. So, anyone who knows the link can access your folder. You can limit the expiration date and IP addresses.
Public Download Link #
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Right-click on the folder you want to share by generating a download link.
- Click on
Download link in the drop-down menu or click on
Download link icon on the right.
- Make sure that “Open to everyone” option is enabled.
- 6. Set the expiration date of the share and IP limit from the advanced tab.
- Click on Generate Download Link.
- Click on Copy link. Paste on an e-mail or any other apps to share it.
Sharing a Folder Download Link to a Specific Group or User #
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Right-click on the folder you want to share by generating a download link.
- Click on
Download link in the drop-down menu or click on
Download link icon on the right.
- Make sure that “Open to everyone” option is disabled.
- Select the users you want to share the file with.
- 6. Set the expiration date of the share and IP limit from the advanced tab.
- Click on Generate Download Link.
- Click on Copy link. Paste on an e-mail or any other apps to share it.
Sharing with Narbulut User Groups #
Instead of sharing files and folders with individuals one by one, you can share them with Narbulut User Groups. Users who are added to the group can access files and folders within authorizations of that group. Members who are removed from the user group lose their access permission.
- Create a Narbulut user group.
- Add users to group.
- Share the file or folder to group.
Note: You can find files or folders shared with you at the section “Shared with me”.
Changing the Authorizations of Shared Folder #
Viewing And Editing the Shared Files
When you share a folder, the sharing authorizations are applied to the files and subfolders in it as well. Users you share with, will access the files in the folder depending on their authorizations:
In folders you share with, users :

After you share the folder, you can change file authorizations in the folder at any time.
Accessing the Shared Files #
To access the files and folders you have shared click on My Shares on the left menu in Narbulut nDocs Workspace area.
To access the files and folders that are shared with you click on Shared with me on the left menu in Narbulut nDocs Workspace area.
Limitations of Shared Folder #
Determining Full, View or Special Permissions to Users
When sharing a folder with a user, you can determine and limit what the user can do with that folder.
- Full: Users can copy, move, delete or download files inside the folder.
- View: Users can only view the files inside the folder. Cannot edit anything.
- Special: Users can copy, move, delete, download the files inside the folder or these authorizations can be customized. Expiration date, download, size, IP restriction can be set.
Changing the Shared User
When you share a folder, you can change or remove the authorizations of the users who you have allowed access to that folder, and add new users or groups over time.
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Click on
My Shares on the left menu. Right-click on the folder that you want to change authorizations of.
- Click on
Share in the drop-down menu or click on
Share icon on the right side.
- In the pop-up, you can add new users you want to share with, and remove users you want to remove.
Files Deleted from the Shared Folder #
When a user deletes a file from a shared folder, only the owner can access that file.
To restore a file deleted from the shared folder :
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Tip: To find the oldest or newest file sent to the trash, you can sort the files by the date that they were sent to the trash.
- Right-click on the file or folder you want to restore.
- Click on Restore.
- You can view the restored file in its original location. If the original location of the file no longer exists check on My Files.
Cancelling Folder Sharing #
When you share a folder, you can stop sharing before its expiration date.
- Go to login.narbulut.com, and then Narbulut nDocs Workspace area.
- Click on
My Shares on the left menu. Right-click on the folder that you want to stop sharing.
- Click on
Share in the drop-down menu or click on
Share icon on the right side.
- Click on icon at the right of users or groups.
